Instructions and Template for Creating a Batch File for Uploading Project Documents to the Site "It is recommended that you use this spreadsheet as a template for creating a document list. This is especially useful when initially setting up a web site and documents from a number of projects must be added to the site. To create the spreadsheet, simply give it a name and save it to your hard drive. To begin making the list, enter (or cut and past from previously downloaded files) the data for each item into the table starting in row 11, overwriting the information that is in this sample." "Be sure to maintain the exact 31-column format of this table. DO NOT LEAVE ANY ROWS BLANK. Complete as much of the information as you can. It is not necessary to complete all of the fields because they can always be updated later. Certain fields are essential, however. These include the fields highlighted in green, i.e. the Primary Doc No., Issue Date, Title, Document Type ID, Category ID, Subcategory ID, Reservoir and Well IDs as applicable, Status ID, Filename, and File Type. Also conditionally required are the dates of document submittal and the IDs of associated engineering tasks, vendor and contractor documentation requirements, and vendor and contractor inspection and testing requirements as applicable. "IMPORTANT! - BE SURE THAT THE DATE COLUMNS ARE FORMATED YYYY-MM-DD. You can do this by first highlighting Cols D and X through AA and then selecting Format > Cells from the Excel menu. Using the Number tab in the Format Cells dialog, select Custom from the Category field, type yyyy-mm-dd into the Type box, and press OK. " "Be careful when entering data to spell words correctly. Also, check that there are no leading or trailing spaces before or after any of the input data. Additional help on completing individual fields is available by holding your cursor over the red triangle in the upper right corner of the field name cell. It is recommended that you do not include commas (,) or quotation marks ("") in the titles or descriptions of the documents. Doing so will cause Excel to put quotation marks around the data when converting it to .txt format. If you really want the commas, and don't want the quotes, you can remove the quotes from the .txt file after the file has been created using MS word and then resave the file. " "After you have completed entering your data, save your file first as an .xls file. Next you will create a .txt file. Before creating the .txt file, check to see that your data starts in Cell A11, and there is no information below, or to the sides of the table. Check this by pressing End > Home on the keyboard. The cursor should go to Column AE in the last row of your data. If not, try deleting the rows or columns outside the data range and saving again. When you are ready, do File > Save As, and select Text (Tab delimited) *.txt as the file type. Save the file, but DO NOT USE SPACES, DASHES (-), OR OTHER SPECIAL CHARACTERS IN THE FILE NAME. UNDERSCORES ( _ ) ARE OK. When you save the file, you may be prompted to answer three questions similar to the following: 1) This file exists. Do you want to save it? 2) This file does not support multiple sheets. Proceed anyway? and 3) This file may contain features that are not compatible. Proceed anyway? Answer ""Yes"" or ""OK"" to all three questions. Then close the .txt file before proceeding further. THIS IS ABSOLUTELY NECESSARY. Answer ""No"" when prompted to save changes to the file." "CAUTION!
